Junior Finance Assistant

The Junior Finance Assistant works specifically to provide accounting and administrative support to the busy finance team. Key Responsibilities - Check and maintain the supplier provision of service contracts, recording them on the Procurement log and maintaining the hard copy filing system. - Process purchase invoices and expenses claims on to the computerised accounts system by reference to the provision of service agreements and as directed by the Head of Finance. This includes obtaining sign off from the appropriate manager. - Maintenance of related logs e.g. mileage, payment run. - Issue payment for one-time suppliers including writing cheques and preparing remittance advices. - Supporting the Senior Finance Assistant to process the 2 weekly payment run - Handle any supplier queries to ensure a high standard of customer care - ensuring these queries are handled monthly in time for close of Ledger deadline. - Responsible for Cashing up and providing floats, including weekly liaison with other employees to ensure cash requirement is fulfilled. - Process debit card orders as directed. - Daily postings of all bank account receipts/payments, - Support Senior Finance Assistant with Stock Take process - Supporting the Head of Finance with Year end Duties. - Responsible for ensuring own workload is managed effectively/efficiently. Being proactive and suggesting changes to current systems to ensure the department is running as efficiently as possible. Creating new systems as and when required. - Responsible for maintaining an effective administration of the Finance department filing, including the year end Archiving as instructed by Senior Finance Assistant. - Data collection as per the instruction of Senior Finance Assistant to support in financial reporting to external bodies. - Weekly processing of staff cafe tabs. - Act as cover for general reception duties including answering the phone, dealing with the post and general emails to ensure the smooth running of our offices Person Specification Does this position interest you? You should have a good standard of Mathematics and English (GCSE Level A-C or equivalent) with solid administrative and organisational skills. You should also be computer literate and able to use Microsoft Office, with previous experience of a financial and/or administrative role. Ideally, you will also be studying towards an AAT qualification and have experience of using SAGE accounting software. This role requires a high level of customer service so the individual should have excellent communication and customer service skills, as well as a high attention to detail.
